Information About "Student Certificates"
1. Students can demand student certificate in different languages. Student certificate templates have been prepared according to student home countries and they are in use.
2. A student certificate is prepared in a time-consuming manner. The student file is opened and all filed documents are controlled one by one before the first computer printout. Afterwards, the printout certificate is controlled again and it is given for superior control by Faculty Deans and the Vice-Rector in charge who also signs the student certificate. After that, the student certificate is given to the student. If there is a single-letter error in the certificate, the student file is opened again and original documents of the student are checked in a guarantee-ensuring method, namely with higher attention and care. The recent practice of some Turkish institutions has imposed inputting some extra information in the student certificate and necessary changes and extensions in the content of the student certificate templates have been made in accordance with the demands of some institutions.
3. Since our University does not have a software which would automatically fill out necessary data in the student certificate, the student certificates are prepared manually by our student affairs administrators. If there are two-three student certificates to be prepared, the Student Affairs Office is temporarily locked.
4. Due to avoiding errors in the student certificate and due to the density of daily duties, student certificates are prepared in the evening hours.
5. The normal due time for issuing a student certificate is three days. If the number of students demanding student certificates is bigger, this period can be extended up to one week.
6. If a student needs a student certificate urgently, the University is willing to issue a student certificate within 2 days. For urgent demands, students should pay 200 denars to the University bank account. For the normal due time of three days (up to one week in special cases), students should pay 100 denars (as it was until now).
7. We advise our students to demand a student certificate (one in native language and one in Macedonian language) at the beginning of the academic year, without waiting stressful and urgent moments and situations. This will avoid locking the Student Affairs Office for the purpose of preparing student certificates.
8. Students must pay 100 denars (200 denars for urgent need) for each separate student certificate in different languages. Without showing the bank payment bill, the student certificate will not be issued.
9. There may be different circumstances for different institutions when preparing Home Country language or Macedonian language student certificate. For instance, an institution in Turkey can request a student certificate issued in Turkish and translated in Macedonian, but the Embassy can request the original student certificate to be issued in Macedonian. Therefore, it is required that proper and correct information and directives are taken from responsible persons in these institutions in order to manage different situations more easily and more efficiently. It would be much better to know what both sides require and the student should tell which institution he needs the student certificate for, so that it is prepared in accordance with that institution's requirements. Of course, there may be extra charges and costs for translation and notarization of the student certificate, when such actions are required.
10. While sending the student certificate to the related institution, please do not fold it or contaminate it. Put into a folder and send it that way. Students who do not obey these rules can face rejection or objections on the student certificate by official persons in given institutions. During your whole life, you should never fold official documents, instead, you should put them in folders and save them very carefully.
11. When you get the student certificate, please check if the given information is correct or not. If you notice a mistake, ask for its correction or control. Particularly, errors in your name, surname, date and place of birth are mostly unacceptable and as such rejected. Since the mother tongue of our employees could be different than Turkish or the local Turkish can differ from the official language, mistakes of this nature can be often made. Therefore, check the information in the certificate very carefully and see if there is any (typing) mistake in it.
12. Please do not argue with the Student Affairs administrators regarding your student certificates, transcripts or other documents. If you consider a problem serious, please talk to the Secretary General. If the problem is not chosen, you can directly appeal to the Rector.
13. Student Affairs Office has divided a working time especially for students' requests and needs. Please respect this working time. When the door is locked, it means that Student Affairs Administrators are engaged with other duties, such as entering your marks in the computer programs. Since this issue requires high attention and concentration, the door will remain locked also for the academic staff.
14. A student certificate which does not have authorized persons' signatures and a seal is not valid. Interested institutions which suspect the validity of the student certificate can address the University to confirm its validity at any time.
